Cloud-Based Phone Systems explained

Hosted- or Cloud-based phone systems are a virtual PBX (an internal telephone network system unique to a company), which gives a business the rich features and functionality of a phone system without having to incur the capital costs of buying one outright.

Before we explain all the features and benefits, let’s just explain the terminology, as it’s still a relatively new technology!

What does ‘Cloud-based’ mean?

The word ‘Cloud’ in this context basically just means ‘hosted off-site on a server, and accessed through an internet connection. We can also use the term ‘Hosted telephone system’ to describe a Cloud-based system.

How can you access the Cloud-based service?

Much like your home or business internet, you select a package and pay a monthly fee to access the service

What is Virtual PBX?

PBXs are internal business telephone systems that connect employees so that they can communicate internally (within their company) and externally (with the outside world), using different communication channels. In the case of systems hosted in the Cloud, they become ‘Virtual’.

What is VoIP, and how does it relate to a Cloud system?

VoIP is an acronym for Voice over Internet Protocol, and simply means that all phone calls – whether internally or externally – are made over an internet connection rather than a fixed telephone line.

Features and Benefits of Cloud-based Phone Systems

Now that we’ve cleared that up, let’s get down to how Cloud-based systems can really help your business in practical, efficient and cost-saving ways.

1. Integrated communications

Cloud-based systems allow users on the network to connect multiple devices to a single number – that means that if your business desk phone rings, your work mobile can ring at the same time so if you’re not at your desk, you’re still able to pick up the call.
You’re also able to switch from on to the other seamlessly so that if you need to move from your desk whilst on a call, you can transfer it to your mobile quickly and easily without interrupting the call.

2. Unified Communications capability

Unified Communications, often referred to as UC, helps employees be more efficient, making it easier to select the best way to initiate, receive, and respond to business communications. Located on your desktop, mobile, or tablet, the Voice Cloud Business dashboard provides your team with one place to connect with employees and customers. Voice Cloud Business is all about collaboration, boosting productivity, improving customer service, and enabling employees to work smarter. Additional subscriptions may be required.

SINGLE NUMBER REACH – your personal cell number stays personal. The single number reach allows users to be reached on any devices through a single phone number with intelligent call routing capabilities. Calling the single number rings one, some or all devices simultaneously depending on user preference and defined rules.
PRESENCE – know whether people are available, stepped away from their desk, or out of the office and choose the best mode to reach them.
INSTANT MESSAGING – looking for the answer to a quick question, or busy on the phone, get what you need with a simple chat to your colleagues.
UNIFIED MESSAGING – check voicemails, fax and call recording services directly from the desktop or mobile app. Even have them emailed as wav. files to listen to on your computer if you choose.
CONFERENCING – schedule a conference call and invite your colleagues and customer directly from your desktop or mobile app.
CALL RECORDING – either choose Entry giving you 12 months or Advanced giving you 7 years call recording all accessible via a web browser. Additional license required.
COLLABORATION – connect to third party software applications such as your CRM, ERP and Customer Support Services, resulting in seamless and highly effective service delivery. Additional license required.

3. Cost-savings
Footing the bill for a feature-rich internal telephony system that offers anything like the capability of a Hosted service is simply an unnecessary expense, and can also run the risk of becoming outdated fairly quickly.
With a Hosted solution you’re able to scale up or down on the services and features you use, manage your costs and always ensure that you have the latest technology, from software and interfaces to handsets including IP phones, SIP phones, DECT, Mobile Client, and IP Conference Phones.
